1. Scope
This Privacy Policy explains how Headings Helicopters (“Headings,” “we,” “us,” or “our”) handles information through the Headings Accounting Assistant (the “App”). The App is an internal bookkeeping-support and reporting tool used only by Headings and users authorized by Headings. It is not offered for general public use.
2. Information the App accesses
When an authorized user connects a QuickBooks Online company, the App may access information needed for approved read-only bookkeeping tasks, including:
- company and accounting-profile information;
- customers, vendors, invoices, bills, payments, deposits, journal entries, and sales receipts;
- chart-of-accounts and categorization information;
- financial reports, including profit and loss, balance sheet, and receivables/payables aging; and
- OAuth connection identifiers and tokens required to maintain the authorized QuickBooks connection.
The production connector is designed for read-only access. It does not create, edit, delete, reconcile, approve, send, or post transactions in QuickBooks.
3. How information is used
We use information accessed through the App only to provide internal bookkeeping assistance, reporting, reconciliation support, anomaly review, record lookup, and categorization suggestions requested by authorized Headings users.
4. Service providers and AI processing
The App may use infrastructure, security, hosting, and artificial-intelligence service providers acting on our behalf. Only information reasonably needed for the requested task is provided. We seek to minimize data before processing and avoid sending bank-account numbers, routing numbers, tax identification numbers, payroll records, credentials, and unnecessary attachments unless an authorized user specifically requires that information for an approved task.
QuickBooks information is also processed by Intuit under Intuit’s applicable terms and privacy policies. We do not sell QuickBooks information or use it for behavioral advertising.
5. Storage and retention
OAuth credentials and tokens are stored in access-controlled systems. Accounting data may be retained temporarily for processing, troubleshooting, auditability, or an authorized report. We retain information only as long as reasonably necessary for the business purpose, security, legal obligations, or dispute resolution, then delete or de-identify it when practical.
6. Security
We use reasonable administrative, technical, and physical safeguards, including access controls, least-privilege design, encrypted network transport, restricted credential storage, and activity logging. No system can guarantee absolute security.
7. Disclosure
We may disclose information to authorized Headings personnel, contracted service providers acting under our direction, Intuit as necessary to operate QuickBooks connectivity, or government authorities when required by law. We do not sell personal information obtained through the App.
8. Access, correction, deletion, and disconnection
An authorized user may request access, correction, or deletion of information associated with the App, subject to legal and accounting-record requirements. A QuickBooks administrator may disconnect the App through QuickBooks Online or by contacting us. Disconnection stops future API access but does not automatically erase records that must be retained for legitimate legal or accounting purposes.
9. Children’s privacy
The App is a business tool and is not directed to children under 13.
10. Changes
We may update this policy when the App, our practices, or applicable requirements change. The effective date above identifies the current version.
